Mailbind

Mailbind for accountants and bookkeepers

An accounting practice’s inbox is mostly attachments and deadlines, arriving at three addresses, from clients who all think theirs is the urgent one.

What you wrote on a bad connection is queued and sent when the network returns, not lost.

The shape of a practice inbox

There is usually a general address that clients write to, a specific one for payroll or VAT, a noreply stream from whichever portals you use, and at least one partner’s personal address that clients have learned to use when they want an answer today. Each is a queue with its own rhythm, and the deadlines are external and unforgiving.

What makes it harder than volume suggests is that most messages are a document plus a sentence. The sentence matters for a day and the document matters for seven years, and the two are stored in the same place by default.

What helps

  • One list across the practice’s mailboxes, with a colour per address so payroll and general never blur.
  • Search across every mailbox at once, including inside attachment names, which is how last January’s statement is found.
  • Snooze, which is the only honest way to handle “chase this on the 14th”.
  • Rules that file the portal notifications as they arrive, so the queue is what a human sent.
  • Smart folders built from conditions — unanswered, with an attachment, from a given client — rather than from folders nobody maintains.
  • A shared inbox when more than one person answers the general address, with assignment so two people do not reply to the same client.

Attachments, retention and the seven-year question

Mailbind is a mail client, not an archive of record, and it is worth being plain about that. Your mail stays with your provider; Mailbind keeps a synchronised copy so the list and search are instant, and that copy is deleted within thirty days of disconnecting a mailbox. If your retention obligation is seven or ten years, the authority for it is your provider or your document system, not this product.

What Mailbind does add is a full export of your data from Settings in a reusable format at any time, and a workspace audit log kept for three months covering who connected what, who changed a role and who exported data.

Mailbind encrypts mailbox credentials with AES-256-GCM, hosts in the European Union, keeps a workspace audit log for three months and publishes a data processing agreement under GDPR article 28. What it cannot do is tell you whether that satisfies your own professional obligations — read the DPA and the privacy policy, and ask whoever advises you.

Clients who write in another language

A practice with international clients gets mail in languages the team reads at different speeds. Mailbind summarises the message you open in your own language and names the next step, and drafts a reply in the language the client wrote in — which for a deadline reminder is usually three sentences you then check and send.

AI can be switched off for the whole account or for a single mailbox, which matters if one client’s correspondence must not leave their provider. The sub-processor list is in the privacy policy.
